What the spreadsheet tracks
- Shift date, site and worker
- One row represents one person’s shift at one site. Use separate rows for multiple shifts.
- Arrival and departure
- Both entries include a date and time, so a shift can cross midnight. Duration is not calculated without a departure entry.
- Break and duration
- The break is subtracted from the time between arrival and departure. Enter the number 0 for no break; a blank cell means the break duration is unknown.
- Location
- Separate fields hold coordinates or location links for arrival and departure. Blank fields in the example mean that no location was received.
- Photo
- A field for a photo link. The example contains no photos of people or fabricated evidence of attendance.
- Review status and comment
- Worker-reported entries are distinguished from verified information. Record the outcome of a check and explain any discrepancy.
Questions for collecting the data
- Which site did you arrive at, and at what time?
- When did you finish your shift, and how long was your break?
- Is there a location or photo available to help check the entry?
Use these questions for manual check-ins and spreadsheet entries. They can also inform a future automated workflow.
How to use the template
Prepare the list
Enter sites and workers. Agree the time zone and the rules for recording shifts.
Record shift entries
Enter arrival, departure, break and any links received. Do not replace a missing departure with the scheduled finish time.
Check the records
Review incomplete shifts and supporting information. Change the review status only after checking the entry.
Keep the original workbook and work in a copy. Replace fictional entries while preserving headers and formulas. Check total ranges when adding rows beyond the prepared area.
Questions about this template
Can the bot already receive locations and photos?
The V2 bot does not yet support receiving locations or photos for this scenario. This is currently a standalone Excel example with fields for manual entry. Discuss the possibility of automatic collection with the DinaBot team.
Does a location automatically confirm attendance?
No. The field stores the value provided. Checking the place, accuracy and time of an entry requires a separate process; a link alone does not verify a shift.
How is a shift that crosses midnight calculated?
Enter the full arrival and departure dates and times. Duration is the difference between them, minus the break. If departure is before arrival or the break is longer than the shift, the formula asks you to check the times.
Can I use this as a ready-made payroll calculation?
The example shows duration based on the entries provided. It does not include pay rates, payroll calculations or payment rules.
