What the spreadsheet tracks
- ID, project and phase
- A permanent ID distinguishes tasks with similar names. Project and phase fields let you filter the list.
- Task and owner
- The specific result to deliver and the person responsible. Agree any change of owner when updating the task list.
- Original and current dates
- Keep the original planned start and deadline. Update current dates by agreement, and record the forecast completion date separately.
- Status and progress
- Status explains where a task stands; the percentage estimates how much of its work is complete. An average of percentages across different tasks is not treated as overall project progress.
- Planned and actual hours
- The estimated effort and time already spent. A difference on an unfinished task does not, by itself, indicate an overrun.
- Comment
- The reason for a delay, a dependency or a decision needed. A missing response has its own status; no progress is assumed.
Questions for collecting the data
- What has changed on this task, and what percentage is now complete?
- How much time has been spent so far?
- When do you expect to finish? What is blocking you, and what decision do you need?
Use these questions for manual check-ins and spreadsheet entries. They can also inform a future automated workflow.
How to use the template
Set up the plan
Replace the examples with your tasks. Enter an ID, project, phase, owner and original dates for each one.
Update the current picture
Record status, progress, hours spent and the completion forecast. Keep the original date when a deadline moves.
Review changes
Filter for tasks awaiting a decision or response. Check changes with task owners before agreeing a revised plan.
Keep the original workbook and work in a copy. Replace fictional entries while preserving headers and formulas. Check total ranges when adding rows beyond the prepared area.
Questions about this template
How is this different from a simple task list?
Each task belongs to a project and a phase. The tracker keeps the original plan, current dates, completion forecast, progress and hours. A simple task list suits individual actions and deadlines without this project context.
Can I add more tasks?
Yes. The Excel file has space for new tasks. Use unique IDs; when updating a task, keep its ID and original dates. The example’s totals cover rows 9–40. For a longer list, extend the table and the totals ranges.
Does it include a Gantt chart or automatic dependency scheduling?
This example is a register of tasks and their status. It does not include a Gantt chart, critical path calculations or automatic rescheduling of dependent tasks.
