What the spreadsheet tracks
- Date, site and work area
- One row records one type of work in one area for one day. These fields let you build a history and filter by site.
- Person responsible and work
- Who is reporting the data and what work was done: masonry, installation, finishing or another specific activity.
- Unit, planned quantity and actual quantity
- Metres, square metres and unit counts are not added together into a single total. Variance is calculated only when both planned and actual quantities are present in the same row.
- Materials and equipment
- What is missing and what will be needed for the next stage. Give enough detail for someone to place an order.
- Blocker and decision needed
- Why work has stopped and what action is needed from the manager. Record the next day’s plan separately.
- Response completeness
- Complete, partial and missing responses are shown separately. A blank actual quantity is not treated as zero work completed.
Questions for collecting the data
- Which site and work area did you work in? What was completed, and in what quantity?
- What is planned for tomorrow? What materials or equipment are needed?
- What is preventing work from continuing, and what decision is needed?
Use these questions for manual check-ins and spreadsheet entries. They can also inform a future automated workflow.
How to use the template
List sites and work
Agree the names of work areas, the people responsible and the units of measurement. Enter the daily plan.
Enter actual results
At the end of the day, record quantities, materials, blockers and tomorrow’s plan. Leave the actual quantity blank if it is unknown.
Review variances
Compare planned and actual quantities for each type of work. Review resource shortages and unanswered questions separately.
Keep the original workbook and work in a copy. Replace fictional entries while preserving headers and formulas. Check total ranges when adding rows beyond the prepared area.
Questions about this template
Is this the same as a worker attendance report?
No. This report tracks work completed and the resources a work area needs. Each worker’s arrival, departure and attendance are covered by a separate template.
Can I add up quantities from several rows?
Only when the type of work, unit of measurement and reporting period match. The example deliberately does not add metres of cable, square metres of masonry and numbers of doors together.
Is this a KS-2 form or a general construction work log?
This is an operational management report for work areas. The Russian KS-2 form and general construction work log are not included in this Excel file.
