For managers who track action items in spreadsheets, assign them in meetings or receive task lists in documents. Especially useful when getting an update means sending a separate message to each owner.
What to prepare
Start with a list of action items. Include a task description, owner and due date; Dina helps clarify missing details. Inviting someone to the team and assigning an owner are separate steps. A name in a document does not grant access.

- Action item and owner
- Each action item is linked to a specific team member. A stable ID helps update the existing task instead of creating a duplicate.
- Original and current dates
- The original plan is stored separately from the current one. Deadline changes remain visible in the history.
- Reported status and comments
- Status, blockers and explanations come from the employee's latest response. They are employee reports, not independent verification. No new response does not mean the task is complete.
- Additional details
- Add a start date, planned and actual effort, priority or other details when needed. You do not have to fill in every field at the start.

If a message does not make clear which action item it refers to or who needs to act, Dina asks a follow-up question. You can view the original response alongside the extracted information.

How to get started
Add your action items
Upload the provided tracker, your own spreadsheet or a document. Dina prepares a list and flags details that need clarification.
Review the list
Match owners to team members, check due dates and confirm which tasks to add or update.
Set up regular follow-ups
Choose respondents, collection days, a start time, a response deadline and report recipients. Once launched, Dina collects updates on that schedule.
Open the app in English, choose the questions and invite your respondents. Agree on the schedule and recipients with Dina, then review the settings before starting the first collection.
Task import is available in the web app: XLSX, UTF-8 CSV, DOCX, text-based PDF, TXT and Markdown; up to 8 MB, 100 action items and 40 PDF pages. Review extracted items before applying them.
Schedule and recipients
For example, on Mondays, Wednesdays and Fridays: questions at 16:00, responses due by 17:30 and a summary at 18:00. Adjust the days and times to suit your team's process.
Set the collection start, response deadline and report delivery time separately. Choose weekdays, reminders and a time zone; check the calendar settings before starting.
Employees can reply in a connected Telegram or MAX chat, by email or in the app. Send the summary and Excel to personal Telegram or MAX chats, a verified Telegram group or email recipients, including stakeholders. MAX groups are not supported.
Questions about this template
Do I have to move everything into your Excel template?
No. Upload XLSX, UTF-8 CSV, DOCX, a PDF with a text layer, TXT or Markdown, or paste text into the web dashboard. Review the extracted action items before applying them.
Can I use meeting notes?
Yes, if they contain decisions or action items. Dina extracts tasks from the text and helps clarify missing owners and deadlines. Audio recordings, photos and scans without a text layer are not currently supported.
How do I add to or update the list?
Upload another document in the dashboard and review the proposed changes. Keep task IDs when updating existing items. The import shows new tasks and changes before you confirm them; previously issued reports remain in the history.
What happens if an employee does not respond?
The report explicitly shows that no response was received. A task's last known status is not presented as a fresh update from the current collection.
How is this different from a daily work report?
The action item tracker asks for the status of each task on your list. A daily work report lets employees describe the day's results and their next steps in their own words, even without an existing task register.
