Prepare your project review with current status updates
A project review needs answers from the people doing the work: what changed, which dates are at risk and where a decision is needed. Dina collects those updates against your action list and prepares a summary with an Excel report.
For project and engineering managers who receive separate updates from colleagues, consultants and other project participants.
How to prepare the inputs for your project review
Choose the actions to review
Start with one project and its assigned tasks. Include an expected result, owner and due date. Upload the register, review the extracted tasks and check the invited participants.
Agree when updates are due
Schedule collection before your project review. Dina asks owners about progress, dates and blockers; they reply by email or through their chosen available channel.
Prepare the decisions for your meeting
Use the summary and Excel report as inputs to the review. Check the replies, identify changed dates and decisions needed, then agree what to share with the client.
What to ask each task owner
- What result have you reached on each of your tasks?
- Is the current due date still achievable, and what could affect it?
- What dependency, approval or help is holding up the next step?
For the North project, the calculation is drafted but the load assumptions are still unconfirmed. I can send the final version by September 22 if the client confirms the inputs on September 18.
Read a conditional date together with its condition. Check the original reply before committing to a date with the client. The summary helps identify the dependency; the manager decides what to promise.
This workflow currently uses action item collection. A separate project task spreadsheet with phases and effort fields is available to download; automated collection for that specialized format is still being developed. Separate surveys are not automatically combined into a portfolio report.
Example updates for a project review
| Task | Owner | Current due date | Reported status | Comment |
|---|---|---|---|---|
| North: send the final calculation | Anna | September 22 | In progress | Depends on client confirmation of loads by September 18 |
| North: send the layout drawing | Igor | September 18 | Reported complete | Drawing sent to the coordinator |
| North: agree survey access | Viktor | September 21 | No response | Current approval status unknown |
Illustrative example with fictional people and tasks. It is not a customer result.
The final calculation depends on the client confirming load assumptions. Igor reports that he has sent the layout drawing. There is no update on survey access. The review needs a decision on the inputs and an access update.
Read the summary and Excel report in the app. Review original replies when you need to check an entry, and choose email delivery for report recipients.
Channels and delivery
Start with email: participants confirm their address and select email in the app. Telegram and MAX are also available, and participants can reply in the web dashboard. Choose respondents and report recipients separately.
A WhatsApp pilot is planned. WhatsApp is not currently an available response channel.
Questions about this workflow
Is this a project task spreadsheet or a complete portfolio report?
You receive task updates from the selected collection, a summary and an Excel report. The manager uses them to prepare the project review. Automatic consolidation of separate surveys, budgets and resource plans into a portfolio report is not currently offered.
Can I start without a task register?
Yes. Choose the daily work report for results, the next day's plan and help needed, or a standup for morning coordination. These formats collect participant updates rather than a status for every previously assigned task.
Can I connect my existing Google Sheets tracker?
Export it as XLSX or UTF-8 CSV, upload the file in the app and review the extracted tasks. Live Google Sheets synchronization is not available; the original spreadsheet is not updated automatically.
Can Dina automatically collect project hours, budgets and phase completion?
The separate project spreadsheet includes specialized project fields, but automated collection for that format is still being developed. Start with action statuses, due dates and comments; discuss any extended reporting requirements separately.
How do I avoid asking the same questions every day?
Choose collection days and a response window around your review. If you also use a standup, coordinate the two schedules and questions so participants know which information is needed in each collection.
